Can I add an electronic copy of my signature to my letters?

Prolegis allows you to upload an electronic image of your signature to automate the signing of letters and documents. Once uploaded, your signature can be dynamically inserted into precedents, saving you the time of printing and scanning.

  • How to Upload Your Signature

    1. Access Your Profile: Navigate to the top right-hand corner of the Prolegis layout and click on the button with the silhouhette of a person.

    2. Open Profile Settings: Select Profile from the dropdown menu.

    3. Locate the Signature Field: Find the Signature File section.

    4. Upload the Image:

      • Drag and Drop: Drag your signature file directly onto the upload area.

      • Search Manually: Click the Choose button next to the field to browse your computer.

    5. Save Changes: Select Update to finalize the upload.


    Best Practices for Signature Images

    To ensure your signature looks professional and fits correctly on the page, keep the following technical requirements in mind:

    • File Format: For best results, upload a PNG. PNG files support transparent backgrounds, which allows the signature to sit cleanly on top of document lines without a white box surrounding it.

    • Image Size and Ratio: The size of your image file is important. Prolegis will attempt to maintain the original size and aspect ratio of the image when placing it on documents.

      • If the image is excessively large, it may take up too much space on the page.

      • If it is too small, it may appear blurry.

    • Cropping: Crop your image closely to the edges of the ink. Avoid leaving large margins of empty space around the signature, as this extra "padding" is factored into the image size and can cause alignment issues on your letters.


    Automation in Documents

    Once updated in your profile, your signature will be automatically pulled into your generated files, including:

    • Reporting Letters

    • Requests for Funds

    • Standard and Custom Precedents

    Note: If you find your signature appearing too large or too small on a generated document, simply resize the original image on your computer, re-crop it, and re-upload it to your Profile page.
