Prolegis AI Parcel Reader (Ontario)
Welcome to the Prolegis AI Parcel Reader for Ontario law firms. This powerful feature eliminates manual data entry by automatically scanning Teraview Parcel Registers—whether they are original digital PDFs, scanned documents, or faxed copies—and extracting the text directly into your Prolegis matter file.
Step 1: Upload the Parcel Register
- Within your Ontario matter file, navigate to Titles in the menu and select Parcels.
- Drag and drop your Teraview Parcel Register file into the upload window.
- The AI accepts all formats:
- Original digital PDFs downloaded directly from Teraview.
- Scanned paper copies.
- Faxed parcel documents.
Step 2: Processing & Notification
- The AI will immediately begin reading the document, pulling out complete information for both active and deleted instruments, along with all associated details.
- Before opening the review screen, a processing notification will run. Once the AI is finished reading the file, a completion alert will pop up in the top right corner of your screen.
Step 3: Review via Side-by-Side View
- Click the alert to open the review screen.
- You will be taken to a side-by-side split screen layout (identical to our Purchase Contract Reviewer):
- Left Side: The editable Prolegis data entry fields, completely pre-populated with the AI's extracted data.
- Right Side: The original Teraview Parcel Register document for quick visual reference.
Strategic Advantages📌 Teranet Connect Integration While the AI Parcel Reader successfully extracts and displays the data logs for active and deleted instruments, to actually purchase and download a specific instrument image, the parcel must be purchased through Prolegis' direct integration with Teranet Connect. Ensure your Teranet integration is active in your file to seamlessly pull official instrument documents.
- ⚡ Drastic Time Savings: Replaces tedious line-by-line data transcription of lengthy instrument histories with a rapid automated import.
- 📋 Accommodating Format Parsing: Legacies of faxed or poorly scanned land registry documents are no longer an issue—the AI reads through graininess and skewed formatting.
- 🔗 Seamless Integration: Once confirmed, this data maps perfectly to your entire file, making tools like the Teraview Instrument Export even faster to execute.
⚠️ Critical: Always Perform Human Verification While the AI is incredibly sophisticated at identifying names, numbers, and legal descriptions across various document qualities, it is a second set of eyes, not a replacement for legal oversight. * Watch for Scanning Artifacts: On heavily faxed or poorly scanned documents, optical character recognition (OCR) can occasionally misread a digit or a character (e.g., mistaking an "8" for a "B", or a "0" for an "O").
- Verify Key Information: Always cross-reference the extracted PIN, exact spelling of owners' names, and registration numbers against the original Teraview PDF on the right side of your screen before finalizing.
- Inline Editing: If you notice a typo or an omission caused by a low-quality scan, simply click into the data field on the left and type in the correction manually. Your changes save instantly.
